How to make Reservation-Terms and Conditions

Making travel reservations through  Indochina Vibes Co., ltd.  (Vietnam) is secure and guaranteed. In most of the cases, advance payment by credit card or bank transfer is required.

Your use of this Web site is expressly conditioned on your acceptance of the following terms and conditions. If you do not agree with any part of the following terms and conditions, you should not use this site.


1. How to make reservations

The reservation is valid only if you have received a confirmation of Indochina Vibes Travel upon your payment of deposit.

2 Confirmation
Indochina Vibes Travel will confirm the tour booking by email stating the specifications which are to be fullfilled relevant requirements of the participants, meanwhile, any failure in the fulfillment of the requirements. Tour participants must be required to reconfirm his/her reservation on the final arrangement which considered a contract between two parties.

Once you confirmed the tour, we will require
- A deposit equal to 30% of the total cost by credit card or bank transfer plus bank charges (processing fees). - The remaining balance of the tour value (70%) is due upon your arrival in indochinaprivatetours, payable at our office. Cash is preferred to reduce any processing fees that may affect your cost. The full or final payment is required 15 days before departure applied for amount is less than US $500. 

- Should the tour be booked within 45 days to departure, full payment is required at the time of booking.
Except as otherwise agreed by Indochina Vibes Co., Ltd, Client’s payment shall be made by Western UnionBank TransferTelegraphic TransferCredit Card and In Cash in the country.

- Any charges levied by the sending institution related to other methods of payments must be paid by the Client/ Agent and may include the correspondent bank's fees as well.  

 Importance Note The confirmation of rooms t desired hotels will be subject to availability on the day of making the booking. In the case, rooms are not available at the hotel foreseen/ desired bookings will be made  in alternate or similar category  or the next best available  hotel. Any supplement/ reduction applicable  in such cases will be payable accordingly.

1. Cancellation : Any cancellations should be made in writing 
    - More 30 days before arrival: no cancellation charge 
    - 15-30 days before arrival: 10% of the price 
    - 5-14 days before arrival: 50% of the price 
    - Less than 5 days before arrival: 100 % of the price 
    - No Show: 100% of the price 

No refund of unused services: there will be no refund for any unused air-ticket, ground transportation, accommodation, meals, and sightseeing tour, either partly or fully, provided that these unused services are available at that time to the tourists.

    2.  Cancellation of Extra Services 
    For additional hotel nights and other extra services booked in connection with tour programs, cancellations will be charged as follows:
    -  More than 30 days prior to the service will be refunded in full 
    -  15 - 30 days in advance: 50% of the price 
    -  Less than 15 days in advance: 100% of the price. (Unless we can negotiate otherwise with the hotel)

     3. Claims and Refunds of Unused Services 

No refunds or exchanges can be made in respect of accommodation, meals, sightseeing tours, transport or any other services which are included in the tour prices but not utilized by the tour member.
For claims to be considered, they must be received in writing within 15 days of the termination of the program and be accompanied by supporting documentation.
Any adjustment considered will be based on the actual price of the services involved and not on a per diem basis. Indochina Vibes Travel will not accept any liability for any claims that are not received within 15 days of the termination of your travel program. All claims for days missed while traveling should be made in writing within 15 days of the termination of the program. 

     4 .Children policy 

Children under 12 years are generally granted a reduction of 25% of the tour price, provided that they are accompanied by at least two full-paying adults and stay in the same room. An extra bed is fully charged as an adult.
      5. Itineraries 
Accommodations (hotel or vessel) and pre-arranged sightseeing are subject to change at any time due to unforeseen circumstances or circumstances beyond Asianway Travel’s control. Every effort will be made to operate tours as planned.

     6. Early Check-in/ Late check- out
Early check-in/ Late check-out is not included in the tour prices. Most hotels apply check-out time at 12:00 and allow check-in after 14:00.  Should you wish to have your room ready for immediate check-in upon arrival of late check out after 13:00, Indochina Vibes Travel can arrange this for an additional charge. Please ask for details and prices.

     7. Active Elements 

Clients should take into account all international travel risks and familiarize themselves with health requirements applicable to the areas they intend to visit. The client is solely responsible for checking the safety and security conditions, vaccination, and other health requirements of governments in countries visited or transited.
On adventure itineraries some active elements are incorporated into the tour. To enjoy the tour as intended a minimum level of fitness is required to participate. The level required would be equivalent to what is obtained by routine daily exercise such as golf, jogging, energetic walking, tennis, etc. Activities during the tour could include (but are not limited to) trekking, hiking, off road walking, cycling, kayaking and navigating uneven terrain. Should you have any questions or need any clarification about a specific tour please ask for details at time of booking.

      8. Photography 
During your program, Indochina Vibes travel has reserves the right to take photographs during the operation of any program or part thereof and to use them for promotional purposes. By booking a reservation with Indochina Vibes, tour participants’ members agree to allow their images to be used in such photographs. Participants who prefer that their images not be used are asked to identify themselves to their Tour Leader/Tour Guide at the beginning of their program.

      9. Travel Documentation 
All clients must be in possession of a valid passport and necessary visas or permits at the commencement of travel. All such documentations are at the sole responsibility of the clients. Your travel advisor may assist you in applying for the necessary travel documentations upon request. Indochina Vibes accepts no responsibility or liability whatsoever for the failure of clients to obtain appropriate documentation.

     10. Luggage Allowance 

In accordance with regulations of the Vietnam Airlines and other regional airway carriers, the free baggage allowance within Vietnam is 40kg for the business class, 20kg for economy class, plus limited carry-on luggage. Excess baggage charges are the sole responsibility of the client. Regulations within Vietnam specify that all suitcases must have a locking device attached. Failure to follow this regulation may result in refusal by airport staff to load suitcases onto the aircraft.

     11. Complaints and Claims 
Shall you feel unsatisfied with any service Indochina Vibes Travel has provided, please notify your local tour guide or your travel advisor to avoid the potential for similar problems happening again during your trip.
In the event of a complaint or claim for compensation, you must inform us by email, regular mail, or facsimile in writing within 15 days from the end of your tour. Relevant receipts and substantiating evidence must be attached to the letter of claim. Indochina Vibes will not be liable for any claims made later than 15 days after the completion of your tour.
Indochina Vibes Travel will act as an intermediary between the clients and other services suppliers such as air, train, boat, and hotels in the event of any complaint. 

      12. Communications 
You can contact Indochina Vibes Travel via the web form on, email, or phone. If for any reason, you fail to receive any reply from Indochina Vibes Travel in regard of your tour status within 48 hours from the time you submitted the request for booking, modifying, or canceling a tour, please contact mobile phone at (84-4) 911177215 immediately to ensure that we are able to deal with your enquiry under the terms of our Terms and Conditions. 

All confirmations are generally confirmed by return e-mail within 2-4 working days. In case immediate confirmation is not possible, we will inform you of the booking status at the time of reservation.

    14. Tour voucher 
Tour Voucher will be issued by Indochina Vibes Travel after the booked trip is confirmed and payment is completed. A service voucher will be sent by email to passenger.
